Creating & Printing Estimates For Prospects

You have always been able to create estimates for prospects, but there really wasn’t any way to print the estimates, so we’ve introduced two new sections into the prospect profile screen.

There is a “Create an Estimate” section:

And after you have “created” the estimate, it’ll appear in an “Estimate Information” section:

So from within the “Estimate Information” section you can edit/delete/print any estimate.

The wording at the top in this “Estimate Information” section will let you know what estimate format you have selected. If it’s the first time you’re doing anything with estimates, then you may not have any format chosen yet, so the software will provide you a basic format by default. However you can click on the “estimate format” link anytime to change the format.

If you select the customized estimate format, you can add a company logo, select what you want to appear on the estimate, add your own wording/text, etc. etc.

An indication that you have not printed an estimate for a prospect yet is if you see the checkbox under the “Estimate” heading checked. If you have printed an estimate already for this prospect at some point previously, the “Estimate” checkbox would be unchecked. Of course you can print an estimate however many times you want to. Simply make sure the “Estimate” checkbox is checked before you click the “Print” button.

After you click the “Print” button you’ll be sent to a screen where you can assign a discount or tax % to the jobs on the estimate if applicable. Then you can print the estimate. We also offer you the ability to save the estimate as a pdf so that you can send the estimate to the prospect via email if you want to.

Home/Quick Summary

You’ve always been able to do what I’m about to explain, but it’s important to point it out since it ties into the estimate process for prospects. On the home/quick summary screen you’ll see a “Prospects” category:

Any prospects who you’ve presented estimates to in the past week will be reflected in this hyperlinked prospect #. Simply click on the link and you’ll be sent to the prospect search results screen with those prospects on it:

Then it’s just a matter of clicking on the callback link (under “Phone/Callback” heading) to open up a callback window and give each prospect a follow up call.

Or you can select the desired “select” box(es) on the right, scroll down, and click on the “personalize it” button (not seen in above image) to send your prospect(s) a personalized follow up or reminder letter. So you have a couple of options on how you want to follow up with your prospects.

As a side note, you can search for prospect estimates using other search criteria directly from the prospect search screen. Click on “search” under the “Prospects” tab and you’ll end up here:

In the “Look For” area as shown above, you can search for “estimates given in the last week” (this will give you the same result as the hyperlinked # of prospects on the home/quick summary screen), “estimates given in the last 2 weeks”, and “all estimates”.
